Privacy Policy
Effective date: June 12, 2026. Last updated: October 14, 2026.
1. Who we are and what this covers
Internality ("we," "us," or "our") is a Michigan nonprofit corporation recognized as tax-exempt under Section 501(c)(3) of the Internal Revenue Code. This policy explains how we collect, use, share and protect personal information when you visit internality.org and our related sites (the "Site"), become a member, take part in our programs, attend events, or give to us.
Internality is responsible for the personal information described here. A technology firm builds and operates our platform for us under a written agreement. This policy does not cover other websites we link to; please read their policies.
2. Information we collect
Contact and interest forms. Your name, email address, phone number, organization, role, areas of interest, and anything you write to us.
Gifts and subscriptions. When you give or buy a Speaker Series subscription, we collect your name, email address, billing address, the amount and date of each payment, receipt numbers, the card brand and last four digits, your subscription status, and whether you agreed to receive email from us. For a subscription, we also keep a record of the automatic-renewal terms you agreed to at checkout: the wording shown, its version, the price, and when you agreed. Your full card or bank details are collected by our payment processor on its own secure checkout page. We never receive or store them.
Member accounts and programs. If you are invited to a member account, we collect your account details and your participation in programs such as Pivot Labs, including what you post in program discussions such as Lab chat. Where Pivot Lab sessions are recorded, we also process transcripts or notes of what is said.
Content you post or upload. This includes posts, comments and files, and information about your company that you or we upload or enter, such as pitch decks, financial figures, company profiles and other company documents.
AI-assisted features. When you use our AI-assisted features, we collect what you type, the answers you receive, any feedback you choose to give, and usage measurements such as response times and quality scores. Details are in section 4.
Events and recordings. When you register for a Speaker Series session, we record your registration and attendance. Sessions are recorded, and a recording can include the voices, video, names and chat messages of the speaker and of attendees who speak, turn on a camera, or post in chat.
Site usage. When you visit the Site, we process limited technical information such as your IP address, browser, device, the pages you view, and when. Our Cookie Policy explains cookies and how consent works.
We do not intentionally collect sensitive information such as health, religious or political information. Please do not submit it.
3. How we use it
We use personal information to:
- respond to you and run our membership, programs and events;
- process gifts and subscriptions, send receipts, renewal reminders, price-change notices and cancellation confirmations, and keep financial records;
- provide our AI-assisted features and improve their quality;
- record Speaker Series sessions and offer the recording archive to subscribers;
- send newsletters and program updates you have agreed to receive;
- operate, secure and improve the Site; and
- meet legal, tax and regulatory obligations, and protect the rights and safety of Internality, our members and others.
Where the law of your country requires a legal basis, we rely on: performing our agreement with you (accounts, programs, subscriptions and the AI features you choose to use); your consent (marketing, which you can withdraw at any time); legal obligations (financial records); and our legitimate interests in running and improving our programs and services, balanced against your rights.
4. AI-assisted features
We use AI to help members find answers, organize program materials and do research. These principles apply to all of them.
We send only what the feature needs. Outside AI providers receive the content needed to deliver the feature you are using, under contract. We do not send your email address or account details to outside AI providers.
Your saved member conversations stay yours. AI conversations saved in your member account are stored so you can return to them, and you can rename or delete them at any time. Deleting them deletes them. We do not send them to outside AI providers, and our monitoring records measurements about them, never their text. If this ever changes, we will update this policy first.
Quality checks stay private. To rate answer quality, an automated check that we run ourselves reads each exchange and produces a score. Nothing it reads is stored, sent anywhere, or seen by anyone. Only the scores are kept, linked to a coded reference rather than to your name, and they are never used to make decisions about you. Members can ask us to leave their conversations out of quality monitoring entirely.
The public guide chat is anonymous. We don't know who you are and don't try to find out. To improve answers, we keep copies of exchanges, with personal details removed, for up to 90 days. Please leave personal details out of your questions anyway.
Program materials. Our staff use AI to help sort and label Pivot Lab materials, including company documents, and to draft session summaries from session transcripts. Some of this processing is done by outside AI providers. A person reviews every suggestion before anything is published. Session transcripts are never published; only a summary and themes are, with no quote attributed to anyone.
Lab chat summaries. To give each Pivot Lab a quick digest of its Lab chat, recent posts are summarized by an outside AI provider. Names are removed before the posts are sent, and the summary is shown only to that lab's participants and staff. Someone could still recognize a person from what a post says.
Company information. Company documents and company figures are processed by outside AI providers only to deliver the feature you are using, including Explore, under contract, and those providers do not use them to train their models.
Explore. Explore is our research and analysis tool for members. Your questions, the conversation so far, and the company details you give it are processed by an outside AI provider to write answers. To find relevant material, the text of your questions, or search queries written from your conversation, is also sent to search and matching services, whose terms may allow them to use that text to improve their services. Please don't include confidential details or information about individuals in research questions.
Speaker Series transcripts. With a speaker's written permission, a reviewed session transcript may be used as source material for our AI tools and to improve Internality's own AI models. Attendee questions and comments are removed first. We do not give or license transcripts to outside companies to train their models.
5. How we share it
We do not sell or rent personal information.
We share personal information with service providers that work for us under written agreements, only as needed for the services they provide. They fall into these categories:
- the technology firm that builds and operates our platform;
- cloud hosting, storage and infrastructure;
- AI service providers;
- account sign-in and security services;
- payment processing (our payment processor may also use payment information for its own purposes, such as fraud prevention, under its own privacy policy);
- email delivery;
- customer relationship and communications tools;
- website analytics;
- event, video and captioning platforms; and
- professional advisers such as lawyers, accountants and auditors.
What you post in a program discussion, or choose to share with other members, is visible to them and to our staff.
We may also disclose information when the law requires it, to establish or defend legal claims, or to protect the rights, property or safety of Internality, our members or others. If Internality merges or reorganizes, personal information may transfer as part of that change, subject to this policy.
6. Where information is stored
Internality is based in the United States. Your information is stored and processed in the United States and in other countries where our service providers operate. Where we transfer information across borders, we use the safeguards the law requires.
7. How long we keep it
We keep personal information only as long as we need it for the purposes in this policy, then delete or anonymize it. In general:
- Contact and inquiry submissions that don't lead to a relationship: up to 24 months.
- Membership and program records: for the relationship, plus a limited period for legal, tax and audit needs.
- Gift, subscription and payment records, including the automatic-renewal terms you agreed to: 7 years after the last payment. We keep these even if you delete your account.
- Event registrations and attendance: up to 3 years after the session.
- Speaker Series recordings, captions and transcripts: as long as we offer the archive, unless the speaker withdraws permission or a removal request applies. Transcripts used as AI source material: until the speaker withdraws permission or the session leaves the archive.
- Marketing subscriptions: until you unsubscribe. We then keep a minimal record so we don't contact you again.
- Saved AI conversations in your member account: until you delete them.
- Anonymous guide-chat copies: up to 90 days. Quality measurements: kept only as aggregates.
- Explore research records and the company details you give Explore: until you delete your account.
- Program materials uploaded for AI-assisted processing: working copies are deleted when our staff publish or discard the item, and in any case after 30 days. What is published stays with the program.
- Lab chat summaries: held only temporarily.
- Website analytics: kept in aggregate.
Deleting your account does not cancel a recurring gift or subscription. See section 8.
8. Your choices and rights
You can ask to access, correct or delete your personal information by writing to privacy@internality.org. We may need to confirm your identity first, and we will respond within the time the law requires.
You can unsubscribe from marketing email at any time with the link in any message. We will still send transactional messages such as receipts, subscription reminders and notices about your membership.
You can cancel a recurring gift or subscription from your account page, with the cancel link in any Speaker Series receipt or reminder, or by emailing giving@internality.org.
Members can delete saved AI conversations at any time and can ask us to leave their usage out of quality monitoring. If you would rather your Lab chat posts were left out of the summary, or want to ask about program material that names you, write to us.
Speaker Series sessions are recorded, and every session page, registration email and reminder says so. To take part without appearing, keep your camera off, choose your own display name, and send questions privately to the host. If you appeared in a session and want your name or contribution removed from a recording, transcript or AI source material, write to privacy@internality.org. We remove it from recordings and transcripts within 10 business days where practical, and from AI source material at its next update.
Depending on where you live, you may have additional rights, such as the right to object to or restrict certain uses, to receive a copy of your information in a portable format, or to complain to a data protection authority. We would appreciate the chance to address your concern first.
9. Security
We use reasonable administrative, technical and physical safeguards to protect personal information. No system is completely secure, so we cannot guarantee absolute security.
10. Children
The Site is for business and professional audiences and is not intended for children. We do not knowingly collect personal information from children under 13, or under the higher minimum age where you live. If you believe a child has given us personal information, contact us and we will delete it.
11. Changes to this policy
We may update this policy as our programs, services or the law change. We will post the new version here with a new date and, for significant changes, give additional notice where appropriate.
12. Contact
Questions or requests about this policy or your personal information: privacy@internality.org, or hello@internality.org for general questions. Gifts, subscriptions and payments: giving@internality.org.
